HR Assistant (EMSS)
Job Description:
The HR Assistant post assists the HR Manager and the Senior HR Officer in the HR Administrative tasks of the Human Resources Department in terms of all the HR facets from the hiring to the severance process. The HR Assistant serves as the administrative support staff and therefore helps the HR Manager and Sr. HR Officer to work more effectively and efficiently for the latter two to focus more on the objectives of the Department than worrying on the daily HR clerical functions.
 
Recruitment, Placement and Orientation (8%)
 
  • Contacts applicants for panel interviews as endorsed by EMSS Recruitment Team;
  • Assists the Hiring Managers by endorsing applicants to the panelists during the conduct of interviews in all open positions across the organization;
  • Endorses successful applicants to EMSS Recruitment for pre-employment requirements processing.
Performance Management and Organizational Development (2%) 
  • Assists the HR Manager and/or Sr. HR Officer in the proper distribution, collation and filing of the annual/semi-annual Performance Appraisal forms.
Compensation and Benefits Administration (10%) 
  • Assists in the processing of AMEX applications.
  • Maintains compensation and benefits tracker and amendment reports for recently updated government-mandated benefits profiles.
Training and Development (10%) 
  • Acts as Training Assistant during trainings that are HR-sponsored and/or when the HR Manager is the Facilitator;
  • As Training Assistant, prepares the logistical needs for training, such s venue, materials, food (if needed), equipment, training evaluation and the like.
  • Collates the Training Evaluation for both internal and external trainings and submits the post-training evaluation to the HR Manager and Sr. HR Officer;
  • Generates training bonds for travelers and monitors the same;
  • Prepares training certificates for programs with certificates;
  • Coordinates, registers nominees for external programs;
  • Assists the Sr. HR Officer in the FCPA enrollment and tracking. 
Records and Files Management (15%) 
  • Prepares 201 files of new joins;
  • Prepares COEs of staff level for various needs;
  • Physical filing of hard copies of staff level documents in respective 201s;
  • Ensures availability of HRD-related forms when employees need them;
  • Assists the HR Manager and/or Sr. HR Officer in the tracking of Hewitt issues, benefits issues and the like including Oracle HRIS Updates. 
Employee Relations (5%) 
  • Generates attendance sheet for Communication meetings, special events.
Special Projects (50%) 
  • Supports the BCP Project by scanning important 201 documents for back-up and save in external hard drive;
  • Clean-up 201 files to comply with Records Retention Policy.
  • Candidate must possess at least a Bachelor's/College Degree, Business Studies/Administration/Management, Human Resource Management, AB/BS Psychology, Behavioral Science or equivalent.
  • With average scholastic records.
  • Good written and oral communication skills.
  • Computer literate – proficient in MS Office applications – in particular, Word, Excel and Power Point.
  • Preferably, unquestionable integrity, team-player, flexible, open-minded, good interpersonal skills, motivated and innovative.
  • Fresh graduates are welcome.
